Auto Repossession Workflow

Pre Repossession Work

  Accepting Cases -

  • Case Intake: Receive repossession requests from lenders or finance companies.
  • Verification: Check borrower details, loan agreement, and delinquency status.
  • Documentation: Prepare a repossession order including borrower information, vehicle details (make, model, VIN), and outstanding balance.

  Hold or Close the Cases -

  • Hold Cases: If borrower makes partial payment, disputes the debt, or legal restrictions apply, place the case on hold until resolved.
  • Close Cases: If borrower clears dues or lender withdraws the request, close the case formally with documentation.
  • Communication: Update lender on the case status (active, hold, or closed).

  Related Time Update Given  -

  • Timeline Tracking: Record expected repossession date and deadlines.
  • Status Updates: Provide lenders with real-time progress reports (case accepted, pending, or scheduled).
  • Compliance Check: Ensure repossession is attempted within legally permitted timeframes.

Post Repossession Work

  Marking the Recovery -

  • Confirmation: Record successful repossession in system logs.
  • Condition Report: Note vehicle’s state at recovery (damage, mileage, fuel level).
  • Evidence: Capture photos and video for proof of repossession.

  Completing the PIC-CR (Picture & Condition Report)  -

  • Photographic Evidence: Take clear images of the vehicle from all angles.
  • Condition Report: Document dents, scratches, missing parts, or modifications.
  • Storage Record: Note where the vehicle is stored and under what conditions.

  Invoicing -

  • Cost Calculation: Prepare invoice for repossession services (tow charges, storage fees, administrative costs).
  • Submission: Send invoice to lender/finance company for payment.
  • Tracking: Maintain records of invoicing and payment status.

   Releasing Documentation  -

  • Borrower Notification: Issue repossession notice to borrower with redemption rights and instructions for retrieving personal belongings.
  • Legal Filing: Submit repossession report to authorities if required by law.
  • Auction Preparation: Release vehicle documentation for resale or auction process.
  • Case Closure: Update lender’s records and formally close the repossession file.
